Position Overview
As the Customer Care Specialist/Administrative Assistant you will be the first point of contact for our customers, ensuring that every interaction reflects our commitment to health and wellness. You’ll handle inquiries, resolve issues, process orders, and set up new customer accounts with accuracy and efficiency. This role requires strong attention to detail, as you will be responsible for data entry, payment processing, and maintaining accurate customer records. Your ability to solve problems, stay organized, and communicate effectively will be key to success in this role. This position combines excellent customer service with strong administrative skills to support our internal teams and keep our office running smoothly. From supply ordering, filing and organizing marketing materials, this team member helps create an environment where everyone can thrive.
 
Key Responsibilities
Customer Care Specialist

  • Provide outstanding customer service through phone, email, and SMS communication.
  • Process orders, credits, and returns accurately and efficiently.
  • Partner with the sales and shipping teams to ensure timely and complete order fulfillment.
  • Respond to retailer and consumer product inquiries with professionalism and empathy.
  • Maintain accurate records of customer interactions and transactions.
  • Support customer requests for product information, samples, and marketing materials.
Administrative Support
  • Perform administrative tasks such as scanning, emailing, filing, printing, and document organization.
  • Order and maintain office supplies and inventory for daily operations.
  • Assist in printing, assembling, labeling, and shipping marketing and promotional materials.
  • Support team meetings and internal communications by preparing materials and coordinating logistics.
  • Maintain organized digital and physical filing systems.
  • Provide general administrative support across departments as needed.
 
Required Skills & Qualifications
  • High school diploma or equivalent required; Associate’s degree preferred.
  • 2+ years of experience in customer service or administrative support.
  • Strong attention to detail, organization, and follow-through.
  • Excellent communication skills—both written and verbal.
  • Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint), CRM systems, order management platforms, multi-channel communication tools, and open to learning new systems. Slack and Asana experience is a plus!
  • Proactive problem-solver who can think critically, make sound decisions, and resolve issues independently and confidently.
  • Experience processing payments, including charging credit cards and handling customer transactions securely.
  • Ability to multitask and thrive in a fast-paced environment while maintaining a focus on customer satisfaction. Positive, dependable, and team-oriented with a passion for helping others.
  • Passion for health and wellness is a plus!
